What Notion is actually optimized for

Notion is a flexible workspace for documents, wikis, and databases — genuinely excellent at organizing information once you've decided how you want it structured. That flexibility is the whole point: you can build almost anything in it, from a CRM to a knowledge base to a project tracker. But that same flexibility means it has no built-in opinion about what a project's memory should contain. You have to design that system yourself, and then maintain the discipline to fill it in every time.

Where a DIY project-memory setup in Notion tends to break down

The first version of a Notion project tracker is usually clean — a database with a few properties, a template for new entries. The break happens over time: properties get added inconsistently, some entries get the full treatment while others are half-filled, and there's no prompt reminding you what to log before you close a session. Nothing enforces the structure, so the structure decays exactly when you're busiest and least likely to notice it slipping.

What a purpose-built system does differently

A tool built specifically for project memory starts with the structure already decided — sessions, decisions, blockers, next actions are the shape of the tool, not something you configure. It also does the summarizing for you: instead of you re-reading old entries to remember where things stand, it generates a short brief on return. The tradeoff is flexibility for consistency — you give up building whatever you want, in exchange for never having to design the system in the first place.

When Notion is still the right choice

If what you need is a wiki, a shared knowledge base, or a place for long-form docs that don't change often, Notion remains a strong fit — that's squarely what it's built for. The mismatch only shows up with fast-moving, frequently updated project state: the stuff that needs to be logged in seconds, not composed as a document. Plenty of people reasonably use both — Notion for the stable reference material, something more purpose-built for the moment-to-moment memory of active work.
